Terms of Service

Effective date: July 8, 2026

These Terms of Service ("Terms") govern your access to and use of the RentLedger platform ("Service") operated by RentLedger LLC ("RentLedger," "we," "us," or "our"). By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.

1. Eligibility

You must be at least 18 years old and have the legal capacity to enter into a binding agreement to use RentLedger. By using the Service, you represent that you meet these requirements. The Service is intended for real estate investors, landlords, and property managers in the United States.

2. Your Account

  • You are responsible for maintaining the security of your account credentials
  • You are responsible for all activity that occurs under your account
  • You must notify us immediately of any unauthorized access at privacy@rentledger.ai
  • You may not share your account with others or transfer your account to another person
  • Accounts are available to any individual or organization that agrees to these Terms

3. Acceptable Use

You agree to use RentLedger only for lawful purposes. You may not:

  • Upload documents you do not have the right to upload or share
  • Upload documents containing fraudulent, misleading, or illegal information
  • Attempt to access another user's data or circumvent security measures
  • Use the Service to violate any applicable law or regulation
  • Reverse engineer, scrape, or attempt to extract the underlying code or AI models
  • Use the Service in any way that could harm, disable, or impair our systems
  • Use any AI-generated output from the Service (including property scores, AI alerts, AI insights, or document risk items) as the basis for a decision to deny, restrict, or condition housing to a specific individual or applicant. RentLedger is a portfolio management and analytics tool, not a tenant-screening or consumer-reporting product, and its outputs must not be used as a substitute for a legally compliant screening or housing-decision process
  • Upload content that infringes another party's copyright or other intellectual property rights (see Section 15, Copyright/DMCA Policy)

4. AI-Generated Content & No Financial Advice

Important: AI analysis is not financial or legal advice

RentLedger uses artificial intelligence to extract data from documents and generate investment analysis. This content is provided for informational purposes only and does not constitute financial advice, legal advice, tax advice, or investment recommendations.

AI-extracted data may contain errors. Always verify extracted information against your original documents. Do not make significant financial decisions based solely on RentLedger analysis without consulting a qualified professional.

RentLedger is not a licensed financial advisor, real estate broker, attorney, or accountant. Consult qualified professionals for advice specific to your situation.

5. Your Data & Documents

  • You retain ownership of all data and documents you upload to RentLedger
  • You grant us a limited license to process your data solely to provide the Service
  • You represent that you have the right to upload any documents you submit
  • We do not claim any ownership rights over your content
  • You are responsible for ensuring the accuracy of information you enter

6. Third-Party Services

The Service relies on third-party providers including Supabase (data storage), Anthropic (AI processing), Google (AI-powered property valuation and market research), Mapbox (address lookup), Stripe (payment processing), Vercel (hosting), and Resend (email). We are not responsible for the actions, privacy practices, or service interruptions of these third parties. Use of the Service constitutes acceptance that your data may be processed by these providers as described in our Privacy Policy.

7. Service Availability

We strive to maintain high availability but do not guarantee uninterrupted access. We may modify, suspend, or discontinue the Service at any time with or without notice. We are not liable for any loss resulting from service interruptions.

8. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, ACCURACY, OR NON-INFRINGEMENT. WE DO NOT WARRANT THAT AI-EXTRACTED DATA IS ACCURATE, COMPLETE, OR ERROR-FREE.

9. Limitation of Liability

TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, RENTLEDGER SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOSS OF PROFITS, DATA, OR GOODWILL, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF THE SERVICE, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. OUR TOTAL LIABILITY TO YOU FOR ANY CLAIM SHALL NOT EXCEED THE GREATER OF (A) $100 USD OR (B) THE TOTAL AMOUNT YOU PAID US IN THE 12 MONTHS PRECEDING THE CLAIM. THIS LIMITATION DOES NOT APPLY TO LIABILITY ARISING FROM RENTLEDGER'S FRAUD, GROSS NEGLIGENCE, OR WILLFUL MISCONDUCT, OR TO EITHER PARTY'S INDEMNIFICATION OBLIGATIONS UNDER THESE TERMS, TO THE EXTENT SUCH LIMITATION IS PROHIBITED BY APPLICABLE LAW.

10. Indemnification

You agree to indemnify, defend, and hold harmless RentLedger and its operators from any claims, damages, losses, or expenses (including reasonable attorney fees) arising out of your use of the Service, your violation of these Terms, or your violation of any third-party rights.

11. Governing Law & Dispute Resolution

These Terms are governed by the laws of the State of California, without regard to its conflict of law provisions.

Binding arbitration and class action waiver

You and RentLedger agree that any dispute, claim, or controversy arising out of or relating to these Terms or your use of the Service (a "Dispute") will be resolved through final and binding arbitration, rather than in court, except that either party may bring an individual action in small claims court, and either party may seek injunctive or other equitable relief in court to prevent actual or threatened infringement, misappropriation, or violation of intellectual property or confidentiality obligations.

The arbitration will be administered by the American Arbitration Association ("AAA") under its Consumer Arbitration Rules, and will be conducted by a single arbitrator in the county where you reside or another mutually agreed location, or by video/telephone conference where permitted. The arbitrator's decision will be final and binding, subject only to limited judicial review as provided by the Federal Arbitration Act.

YOU AND RENTLEDGER EACH AGREE THAT ANY DISPUTE RESOLUTION PROCEEDINGS WILL BE CONDUCTED ONLY ON AN INDIVIDUAL BASIS AND NOT IN A CLASS, CONSOLIDATED, OR REPRESENTATIVE ACTION. IF FOR ANY REASON A DISPUTE PROCEEDS IN COURT RATHER THAN ARBITRATION, YOU AND RENTLEDGER EACH WAIVE ANY RIGHT TO A JURY TRIAL AND TO PARTICIPATE IN A CLASS ACTION.

You may opt out of this arbitration agreement within 30 days of first accepting these Terms by emailing privacy@rentledger.ai with the subject line "Arbitration Opt-Out" and your account email address. If you opt out, or for any Dispute properly excluded from arbitration above, such Dispute will be resolved exclusively in the state or federal courts located in California, and you consent to personal jurisdiction in those courts.

12. Termination

We may terminate or suspend your account at any time for violation of these Terms. You may request account deletion at any time by contacting privacy@rentledger.ai or through your account settings. Upon termination, your right to use the Service ceases immediately. If you have an active paid subscription, see our Refund & Cancellation Policy regarding what happens to your subscription on cancellation or account deletion.

13. Billing, Auto-Renewal & Refunds

Paid subscriptions automatically renew each billing period (monthly or annually, as selected at checkout) until cancelled. Full billing, auto-renewal, and refund terms are set out in our Refund & Cancellation Policy, which is incorporated into these Terms by reference.

14. Copyright / DMCA Policy

We respect intellectual property rights and expect users to do the same. If you believe content accessible through the Service infringes your copyright, send a written notice to our designated agent below containing: (1) your physical or electronic signature; (2) identification of the copyrighted work claimed to be infringed; (3) identification of the allegedly infringing material and information reasonably sufficient to let us locate it; (4) your contact information; (5) a statement that you have a good-faith belief the use is not authorized; and (6) a statement, under penalty of perjury, that the notice is accurate and that you are authorized to act on behalf of the copyright owner. We will respond in accordance with the Digital Millennium Copyright Act, 17 U.S.C. § 512, and may terminate accounts of repeat infringers.

15. Changes to Terms

We may update these Terms from time to time. We will notify you of material changes by email. Your continued use of the Service after changes become effective constitutes acceptance of the updated Terms. If a change materially affects the arbitration agreement in Section 11, we will give you the opportunity to opt out of that specific change as described in that section.
