RentLedger ("we," "us," or "our") operates the RentLedger platform available at rentledger.ai (the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our Service. By using RentLedger, you agree to the practices described in this policy.

RentLedger LLC is operated from California, United States. This policy is written to comply with the California Online Privacy Protection Act (CalOPPA), the California Consumer Privacy Act (CCPA), other applicable U.S. state privacy laws (see Section 7), and applicable federal privacy law.

1. Information We Collect

Information you provide directly:

• Email address and password (account registration)
• Full name and company name (optional profile fields)
• Property addresses, financial figures, and portfolio data you enter
• Documents you upload (lease agreements, mortgage statements, insurance policies, tax bills, inspection reports, HOA agreements)

Information collected automatically:

• Authentication session cookies (required for login)
• Basic usage logs (page visits, feature usage) for service improvement
• IP address and browser type (collected by our hosting provider)

2. How We Use Your Information

• To provide and operate the RentLedger Service
• To automatically extract financial data from documents you upload using AI
• To generate investment analysis and property alerts
• To send transactional emails (rent reminders, lease expiry alerts, account notifications)
• To respond to support requests
• To improve and develop the Service
• If you consent via our cookie banner: to measure marketing campaign performance and show you relevant ads on other sites (retargeting)

We do not sell your personal information. We do not use your account, portfolio, financial, or document data for advertising purposes. Only anonymous browsing/visit data — and, if you consent, advertising-cookie identifiers — are used for marketing analytics and retargeting, as described in Section 9 and our Cookie Policy.

We share data with the following trusted third-party providers solely to operate the Service:

We do not share your data with any third parties beyond those listed above, and we do not sell your data to advertisers or data brokers. Each provider above only receives the data necessary to perform its function (e.g., the Google Gemini API only receives the property address, asset type, and market/location details needed to generate a value estimate or market report — not your lease terms, uploaded documents, or account/financial data). The analytics/advertising providers (Google Tag Manager/Analytics/Ads, Meta, LinkedIn) never receive your property, financial, or document data — only anonymous browsing activity and, if you accept advertising cookies, an advertising identifier used for retargeting.

5. Data Storage & Security

• All data is stored on servers located in the United States
• Data is encrypted in transit using TLS/HTTPS
• Uploaded documents are stored with encryption at rest
• Access to your data is restricted to your account via row-level security — other users cannot access your data
• We do not store payment card information — all payment processing is handled by Stripe. Only your subscription status and Stripe customer ID are stored in our database.

6. Data Retention

We retain your account data and uploaded documents for as long as your account is active. When you delete your account, your account record, portfolio, property, and document metadata are deleted immediately and permanently — this action cannot be undone or recovered.

Uploaded files: the original files you uploaded (leases, insurance policies, mortgage statements, tax bills, and similar documents) are stored in a separate file storage system. Deleting your account removes your access to these files immediately, but the underlying file copies may not be purged from storage right away. We are working to close this gap; until then, do not treat file storage deletion as instantaneous. You may request expedited/manual purging of your uploaded files at any time by contacting privacy@rentledger.ai.

7. Your Rights Under CCPA (California Residents)

If you are a California resident, you have the following rights:

• Right to Know: You may request a copy of the personal information we have collected about you
• Right to Delete: You may request that we delete your personal information
• Right to Correct: You may request correction of inaccurate personal information
• Right to Opt Out of Sale/Sharing: We do not sell personal information. If you accept advertising cookies via our cookie banner, we do share limited browsing data (via advertising identifiers) with Google, Meta, and LinkedIn for cross-context behavioral advertising (retargeting) — this is considered "sharing" under the CCPA. You can opt out at any time by selecting "Necessary Only" on the cookie banner, or by submitting a "Do Not Sell or Share My Personal Information" request to the email below, and we will disable this sharing for you going forward
• Right to Non-Discrimination: We will not discriminate against you for exercising any of these rights

To exercise any of these rights, email privacy@rentledger.ai with the subject line "CCPA Privacy Request," or use the same address to submit a Do Not Sell/Share request. We will verify your identity before fulfilling requests involving account data, and will respond within 45 days as required by CCPA.

8. Your Rights Under Other U.S. State Privacy Laws

If you are a resident of Virginia, Colorado, Connecticut, Utah, or another state with a comprehensive consumer privacy law, you generally have similar rights to those described in Section 7 above: the right to know what personal information we hold about you, the right to correct or delete it, the right to obtain a copy of it, and the right to opt out of sale, targeted advertising, or certain profiling. We do not sell personal information, and we only engage in targeted advertising (retargeting via Google, Meta, and LinkedIn) if you accept advertising cookies via our cookie banner. Where required, we will honor a valid Global Privacy Control (GPC) opt-out signal sent by your browser as a request to opt out of targeted advertising. To exercise any of these rights, contact privacy@rentledger.ai; we will respond within the timeframe required by your state's law.

9. Cookies

We use essential cookies (required to keep you logged in) at all times. If you accept analytics/advertising cookies via the cookie banner shown on your first visit, we also use Google Tag Manager, Google Analytics, Google Ads, Meta Pixel, and LinkedIn Insight Tag for site analytics and ad retargeting. These are never set if you decline, and you can change your choice at any time. We also honor Global Privacy Control (GPC) browser signals as an opt-out. 10. Children's Privacy

RentLedger is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us at privacy@rentledger.ai.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the Service. Your continued use of RentLedger after changes become effective constitutes acceptance of the updated policy.
